Migrating to Signature 365 from Email Signature Manager
Plan and complete a move from Email Signature Manager to Signature 365, including prerequisites, migration, and rollout steps.
Use the Signature 365 migration wizard to move your Email Signature Manager templates, campaigns, disclaimers, and rules into Signature 365.
Before you begin, create your Signature 365 tenant and review Signature 365 required permissions so you can complete Microsoft 365 integration without interruption.
- Create your tenant by following Creating a new Signature 365 subscription.
- If you want to limit the rollout to pilot users, create or identify a mail-enabled security group in Exchange Online before you start the integration.
- Complete How to setup Signature 365, targeting your mail-enabled security group if you are piloting the migration.
- If you use Active Directory attributes in your existing Email Signature Manager templates, make sure those attributes are available in Entra ID. See Import Active Directory attributes into Signature 365.
- Download and install the migration tool on the server where Symprex Email Signature Manager is installed. These steps do not change Email Signature Manager. They only upload your templates and rules to Signature 365.
- Follow How to use the Signature 365 migration wizard to migrate your existing Email Signature Manager data. If your users have already been imported from Entra ID, you can also migrate your existing rules.
- If you are performing a proof of concept and cannot migrate rules yet, create them manually by following Applying signatures to users and groups. You can rerun the migration wizard later to import the remaining rules.
- Deploy the Outlook add-in to supported Microsoft 365 Outlook clients. If you still use perpetual Outlook desktop versions, also deploy the Outlook (Classic) agent.
Microsoft states add-in deployment can take between 6 and 12 hours. In practice, it can take between 1 hour and 24 hours. We recommend manually installing the add-in on at least one device first by using the manifest method so you can confirm it is working before the wider rollout.
